Building a workflow to auto-send meeting summaries to HubSpot contacts

Overview

This workflow shows you how to use Tactiq to automatically send meeting summaries and transcripts to HubSpot Contacts. It’s perfect for sales or success teams who want a consistent record of client meetings—without the manual copy-pasting.

You’ll be able to track every interaction in your CRM, automatically.

Creating the Workflow

  • Select Start with a blank workflow to open the workflow canvas.

Set the trigger and filters

  • Change the trigger to automatic.

  • Set the Trigger Type to Meeting processed.

  • Add filters to define which meetings this workflow should apply to: Meeting TitlecontainsDemo, Onboarding, or Client Call

  • You can also filter by Participant Email to narrow down by customer domains

💡 Note: Using participant filters is helpful if your workflow should only apply to external client-facing meetings.

Add an AI summary

Click the + button and select AI: Use a quick prompt or Write your own prompt.

You can also use Tactiq’s built-in prompts for sales workflows, like:

  • Sales Speedometer

  • SPIN

  • BANT

  • Objection Handling

Share to HubSpot

  • Click the + button again and choose Share to an Integration.

  • Select HubSpot from the list of available integrations.

  • In the Meeting Notes section, click Variables and Examples.

  • Choose the content you want to send:

    • step1.output for the AI-generated summary

    • {{transcript}} for the full meeting transcript

    • Additional variables like {{meetingTitle}}, {{meetingDate}}, or {{participantName}}

Finalize and run the workflow

  • Click Save to activate your workflow.

  • Click Run to test the setup.

  • When the workflow reaches the HubSpot node, you’ll be asked to fill in the required inputs such as:

    • Activity assigned to

    • Contact IDs

  • Fill these out, then click Continue to complete the process.

You’re all set

Now your meetings will automatically be logged in HubSpot with AI-generated summaries and full transcripts. This makes it easy to keep your CRM updated without lifting a finger.
