Manager Review Workflows for 1:1 Meetings

If you manage a team, keeping track of multiple 1:1 meetings can be time-consuming. This workflow automatically collects insights and action items from each meeting and saves them in a shared Space, so you can review updates anytime all in one place.

It’s especially useful for performance reviews, project syncs, or weekly check-ins where you want a quick view of progress without manually requesting summaries.


How it works

Once a meeting transcript is processed, AI extracts clear action items from the discussion. You can then review and approve the output before it’s saved into a Manager Reviews Space.

This gives you a structured, consistent overview of your team’s discussions and helps ensure no follow-up is missed.


Setting up the workflow

  • Click New workflow and name it something like Manager 1:1 Reviews.

  • Set the Trigger type to Automatic and select Meeting Processed.

  • Add two conditions to specify the meetings to include:

    • Meeting title contains 1:1

    • Participant names include your team members (for example, Ken, Darren, Krystle).

  • Add an AI: Use a Quick Prompt step and choose Generate Action Items.

    • This prompt extracts up to 10 action items, including assignees and tasks.

    • Leave the language setting as Meeting Language so AI matches the transcript’s language.

  • (Optional) Add a Review Before Proceeding step to preview the AI’s output before saving.

    • This step displays the generated action items and lets you approve or decline them.

  • Add a Save to a Space step and choose the Space where you want all 1:1 summaries to go, for example, Manager Reviews.

  • When everything’s set, click Save.


Variation to try

  • Add a Share to an Integration step to post summaries directly to Slack or Notion for easy visibility.

  • Customize the AI Quick Prompt to summarize key discussion points or blockers instead of just action items.

What you’ll get

Each time a 1:1 meeting finishes, AI automatically extracts key action items, gives you the chance to review them, and saves them to your Manager Reviews Space.

You get organized insights without chasing updates and a clear view of team progress week after week.
