How to create and manage Tactiq Spaces

Organize meeting transcripts by project, client, or department, share them with teammates.

Before you start

Sign in to your Tactiq dashboard. To share a Space, the people you add must belong to your Tactiq Team. To change an existing Space’s members or settings, you need Can manage access.

Space permissions apply to that Space. They do not make someone a team administrator or the owner of another person’s transcript.


Find your Spaces

  • Select Spaces in the sidebar to open the combined list of Spaces and recurring meeting groups.

  • Select All to see the Spaces and recurring groups available to you.

  • Open a Space to review its meetings.

You can also reach your Spaces from My Meetings and shared Spaces from Shared With Me.

Recurring meeting groups collect meetings that use the same meeting link. You can turn a recurring group into a Space when you share or customize it, so you can invite teammates and add other relevant meetings.


Create a Space

  • Open Spaces and select Create space.

  • Enter a name, such as “Customer onboarding” or “Marketing,” and choose an optional icon.

  • Under Add members (optional), select teammates if you want to share the Space immediately. All members can read its meetings. Can add meetings is selected by default; select Can manage if they also need to manage the Space.

💡 Note: Adding team members converts a personal Space to a team Space. If you leave the team, you lose access to that Space.

  • Select Create space.

  • Open the Space and select Share when you are ready to add teammates.

Choose a name that makes the Space’s purpose clear to everyone who will use it.

Share a Space and choose permissions

  • Open the Space and select Share.

  • Find the teammates you want to add by name or email address.

  • Choose the access each person needs, then select Invite.

To change someone’s access later, open Share and use the permission menu beside their name. Manage members here rather than in Space settings.

💡 Note: Can manage applies to the Space. It does not automatically give someone every editing or sharing action on transcripts owned by other members.


Add meetings to a Space

Adding a meeting makes it available to the Space’s members.

  • Go to My Meetings and find the meeting you want to share.

  • Select Add to space and choose the destination Space.

  • Open the Space to check that the meeting appears.

Change Space details and email notifications

Select Settings to open Space settings. Change the name or icon and select Update, or manage your email notification preference.

Enable email notifications lets you receive a notification when a meeting is added. Each member controls their own preference. This is separate from automated updates that email generated content to selected destinations.

Leave or archive a Space

Use Leave space in Space settings when you no longer need membership. If you are the only manager, give another member Can manage access first.

Use Archive space for everyone when the Space is no longer needed by the group. This affects all members, so review the Space’s purpose and any connected automations before archiving it.


FAQs

Why can’t I add a teammate or change their access?

Managing membership requires Can manage access, and the person you add must belong to your Tactiq Team.

  • Ask a Space manager to update membership if you do not have management access.

  • Confirm the teammate belongs to your team before adding them to the Space.

How do I remove a meeting from a Space?

Remove the meeting’s association with the Space when it no longer belongs there.
