You can add the Email participants
step to any workflow to send meeting content—like the transcript, summaries, or action items—directly to participants. This is especially helpful for sharing key information without needing manual follow-ups.
How to use the Email participants
step
To use this step, start by creating a workflow from a meeting and follow these actions:
Choose a trigger: either
Manual trigger
orAutomatic trigger
.
If using
Automatic trigger
, set your conditions (e.g. meeting title, participants).
Add a new step and select
Email participants
. You can rename the step by double-clicking the step name or clicking the pencil icon.
Editing the email subject and body
After selecting Email participants
, you’ll be able to customize the subject and body of the email.
Both fields support variables like meeting title, user name, and more—these automatically fill in with the correct information when the email is sent.
Subject
You can customize the Subject
field. By default, it looks like this:
{{ user.name }} shared meeting notes: {{ meeting.title }}
You can replace this with plain text or insert other dynamic variables using the Add variable
menu.
Examples of available variables include:
Meeting details (

Body
The body field contains the content of the email. The default template is:

Change or remove the transcript link
Add personalized greetings or notes
Insert summaries or action items generated by earlier workflow steps
Use variables for dynamic content
💡 Note: This step is especially useful if you've already included AI steps like “Write your own prompt” or “Use a quick prompt” earlier in the workflow to generate summaries, follow-ups, or action items.
After editing the email content, save the workflow. The email will be sent to participants automatically or manually, depending on your trigger type.
