The Added to Space trigger helps automate what happens after a meeting lands in a space. Once it’s enabled, your workflow runs automatically whenever a new meeting is added to that space. This is useful for tasks like generating summaries, sending follow-ups, or sharing notes with your team.
It’s a simple way to keep your processes consistent without having to run actions manually after every meeting.
How the “Added to Space” Trigger Works
When a meeting is added to the selected space, the workflow starts automatically and runs through the steps you’ve configured.
For example, you might set up a workflow that:
Creates a meeting summary
Sends notes to Slack
Saves the transcript to Google Drive
Updates your CRM (Hubspot, Pipedrive)
Once the workflow is active, these actions will run automatically whenever a meeting appears in that space.
Choosing Who Can Trigger the Workflow
By default, the workflow runs for all members of the space.
This means that if anyone in the space adds a meeting, the workflow will run automatically.
If you prefer to keep the workflow personal, you can enable Only I can trigger this workflow in the Start node settings. When this option is turned on, the workflow will only run when you add a meeting to the space.
This option is helpful when a workflow is connected to personal tools or accounts that you don’t want running for other teammates.
How Integrations Are Used
When the workflow runs, it uses the connections and integrations of the workflow owner.
For example, if the workflow sends meeting notes to Slack or saves a file to Google Drive, it will use the accounts that the workflow creator has connected.
This allows teams to create shared automations that run consistently without each member needing to connect their own integrations.
Note: Meetings shorter than two minutes will not trigger the workflow.
Spaces can have multiple workflows attached to them. This means you can create different automations for the same space, such as one workflow for summaries and another for exporting transcripts.
Tips for Using Spaces with Workflows
For Team automations:
Leave
Only I can trigger this workflowturned off so the workflow runs for everyone in the space. This works well for shared tasks like posting summaries to a team Slack channel or saving transcripts to a shared folder.
For Personal automations
Turn
Only I can trigger this workflowon if the workflow sends information to tools that only you use, such as your personal notes or task manager.
