How to keep all your recurring meetings in one place

Keep every meeting in a series in one place, automate updates for new ones, and share it with your team.

Written by Amelia Lim

Turn a recurring meeting into a space so every new meeting in the series lands in one place on its own, ready to follow, automate, and share with your team.

📌 Note: Workflows are still the right tool when you need conditions, branching, or steps that run in sequence. A space is the simpler setup when you just want the same summary in the same place every week.

Before you start

Connect your Google Calendar. Go to Account & Settings > Integrations > Google Calendar and select Connect. See How to install Tactiq for Google Calendar.

How Tactiq finds your recurring meetings

Tactiq groups meetings that use the same meeting link. Once you have two or more meetings on the same link, they appear together as a recurring series on the Spaces page.

You can tell the two kinds apart at a glance:

  • Recurring series: a Google Calendar icon and Created by Tactiq

  • Spaces you made yourself: your emoji (or a # icon) and Created by you

Open your spaces

  1. Select Spaces in the left sidebar.

  2. Use the tabs at the top to switch between All, Mine, and Shared With Me.

  3. Select a series or space to open it.

Your most recent spaces also appear under My Meetings in the sidebar. Select View my spaces to see the full list.

Switch between Digest and List

Use the layout dropdown at the top left of the feed to choose how much of each meeting to show:

  • Digest shows each meeting as a heading with the documents it generated underneath.

  • List shows a compact row per meeting with checkboxes and bulk actions.

Turn a series into a space

From the Spaces page

  1. Find the recurring series in the list.

  2. Select Keep it.

From the series page

  1. Open the recurring series.

  2. In the right-hand column, find the card that says the space was created for your recurring meetings.

  3. Select Keep it.

Tactiq adds the meetings you already have from that series, then adds each new meeting on the same link once it has been transcribed. This lets you catch up on a weekly one-on-one or project sync in one place without sorting meetings by hand.

📌 Note: Setting up an automation, sharing the series, or adding a meeting to it with Add to space also turns it into a space.

Merge a series into an existing space

If you already have a space for this work, merge the series into it instead of keeping a second one.

  1. Select Merge it on the series, either in the Spaces list or on the series page.

  2. Pick the space you want to merge it into.

New meetings from the series then join that space automatically.

Automate updates for every new meeting

Pick a prompt once, and Tactiq runs it on every new meeting that joins the space and sends the result to where your team works. Start from the Automate new meeting updates card in the right-hand column of the space page.

  1. On the Automate new meeting updates card, select Set up.

  2. Under Choose an update, select a prompt, for example a detailed summary or action items. Your team prompts appear in the same list. Choosing one means everyone gets the same format, and updating the prompt updates every automation using it.

  3. Under Share it (optional), choose where to send the update if you want it outside Tactiq.

  4. Leave Enable workflow on.

  5. Select Create workflow.

To change it later, select Edit on the same card. If the automation is paused, the card shows a Disabled badge. To turn it back on, select Edit and switch Enable workflow on.

📌 Note: The automation runs on new meetings from the point you set it up. Past meetings added when the space was created don't trigger it.

Ask a question across the whole space

Use the Ask about field at the top of the space page to ask about every meeting in it at once.

Include a time range in your question so Tactiq knows how far back to look:

  • What decisions have we made in this meeting over the last month?

  • How has our thinking on pricing changed since July?

  • What action items have carried over from meeting to meeting without being closed?

Share the space with your team

  1. On the space page, select Share.

  2. Enter names or emails under Invite contributors and stakeholders.

  3. Choose what each person can do, then select Invite.

FAQ

Why isn't my recurring meeting showing up?

Check that your Google Calendar is connected first. Tactiq then needs at least two meetings on the same meeting link to spot a series. A one-off meeting, a meeting booked with a different link, or one that kept the default Meeting Transcription title won't be grouped.

Are my past meetings added to the space?

Yes. When you turn a series into a space, Tactiq adds the meetings you already have from it. If you later remove a meeting, it stays out.

Do my teammates' meetings get added automatically?

Only if they can add to the space. A new meeting on the same link joins automatically when its owner has Can add or Can manage access.

Does the automation run on past meetings?

No. It runs on new meetings in the space from the point you set it up.
