How to share prompts with your team

Share a group of prompts with your team so everyone runs the same prompts in their meetings.

Where your prompts live

Go to AI Tools in the sidebar to open the Prompts page. Your prompts are organised into groups, and each group sits under one of three tabs:

  • Mine: Prompt groups you created or added to your own list

  • Team: Prompt groups shared with your team, including ones you shared and ones your teammates shared

  • Explore: Prompt groups curated by Tactiq that you can copy and adapt


Share a group you already have

  1. Go to AI Tools and open the Mine tab.

  2. Find the group you want to share.

  3. Click the visibility dropdown on the group, and change Private to Share with team. The prompt group will now appear on the Team tab for everyone in your team.


What your teammates can do with a team prompt

Once you share a team prompt, everyone in your team can:

  • See it on the Team tab, badged Shared by [your name]

  • Run your prompts on their own transcripts. In a transcript, they click View all AI prompts, open the Team tab, and your group is there, badged Shared by [your name].

A teammate who wants a different version uses Copy and edit, which gives them an independent, private copy while leaving yours untouched.

📌 Note: Sharing gives your team read and run access, not editing rights. A shared group has one owner: only the person who created it can edit its prompts, add prompts, or delete it.

When the owner updates a prompt, everyone running that group automatically receives the new version.

Use a shared group on a recurring meeting group

A shared group also works as the prompt behind a recurring meeting automation. Pick it under Choose an update and Tactiq runs it on every new meeting in that series, sending the result wherever your team works.


How to stop sharing a team prompt

  1. Go to AI Tools and open the Mine tab.

  2. Click the visibility dropdown on the group, and change from Shared with Team to Private.

The group disappears from your teammates' Team tab, and its prompts stop appearing in their AI prompts list. Any copy a teammate already made with Copy and edit is theirs and stays with them.


FAQs

Can a teammate edit a prompt I shared with them?

No. Sharing gives read and run access only. If a teammate wants a different version, they use Copy and edit on the group, which creates an independent private copy that they own. Your original is untouched.

I shared a group but a teammate cannot see it

Ask them to check the Team tab rather than Mine. Shared groups appear under Team. Also confirm they are in the same team as you. Sharing applies to your own team only, so a group cannot be shared with a different team.

Does running a shared prompt use my AI credits or theirs?

Theirs. AI credits are counted per person, so each teammate spends their own credits when they run a prompt from a shared group.

Can I share with one person instead of the whole team?

No. Changing the visibility of the prompt from private to shared shares it with everyone in your team.

What happens if I delete a shared group?

Every prompt in the group is deleted and the group disappears for your teammates. This cannot be undone. Copies teammates made with Copy and edit are not affected.
